OhioBuys is the State of Ohio's procurement system. When a state agency buys goods or services through a formal process, the solicitation is usually posted there. For a small vendor it is one of the most valuable sources of public work in the state, and one of the easiest to fall behind on.
Register as a Supplier First
Browsing open solicitations is possible without much setup, but responding requires a supplier account. Register before you need it. Registration can take time to complete, and a bid you find on a Tuesday may close the following week.
Reading the Listings
The list of public solicitations shows, for each one, the title, the agency, a status and the dates the posting opens and closes. The two that matter most:
- Status. Only postings that are open for bidding can still be answered. Closed and under-evaluation postings stay visible for a while, which makes the list longer than it looks.
- End date. This is the deadline for your response. Note it, along with the deadline for questions, which is usually earlier.
Open the posting itself to see the scope, the documents and the instructions. The attachments are where the real requirements live: quantities, specifications, delivery terms and the forms you must return.
Minority Business Enterprise Set-Asides
Some solicitations are set aside for businesses certified in Ohio's Minority Business Enterprise program. The listing marks them. If your business is certified, these are worth watching closely. If it is not, filter them out so they do not crowd your list.
Revised Postings Move
When an agency revises a solicitation, the revised version can be posted under a new link, and the old link stops working. The end date can change too, sometimes to an earlier date. If a bookmarked posting suddenly will not open, search for it again by its number or title rather than assuming it was canceled.
Watch for Duplicates Elsewhere
Many OhioBuys postings are republished on aggregator sites. That is useful for discovery, but always respond through the official posting and confirm the dates there, since a copy can lag behind a revision.
A Simple Way to Stay on Top of It
- Check open solicitations once or twice a week, newest first. The first two pages usually hold everything still open.
- Search by the keywords that describe your products and services, not only by category.
- Keep one list of the bids you are pursuing with their end dates, question deadlines and links.
- Re-open each posting a few days before it closes to catch addenda and revisions.
